Summary:
The primary function of the Client Service Coordinator is to provide administrative support to the Firm by acting as a first point of contact for the client, putting the needs of the client first and consistently demonstrating exceptional service every single time.
This position performs simple to moderately complex tasks in the areas of administrative support and client services.
Responsibilities include but not limited to:
Greeting clients and visitors as first point of firm contact Screening and/or selectively referring callers.
Supporting clients by providing services in account management, technology support and general requests.
Maintaining client databases and compiling information to prepare reports using appropriate software including Beneficiaries on files, addresses, phone/cell #s, etc.
Setting up client appointments and maintaining the Advisor's tax schedule and assisting with other appointment scheduling.
Preparing for client tax appointments ensuring all necessary data is prepared.
Providing client service on completed tax return filing and payment.
Performing various client services tasks ensuring every client receives exceptional service in every interaction.
Clients should experience the WOW factor.
Supporting improvements to the efficiency of front office operations.
Performs additional administrative tasks and special projects as assigned including basic office functions.
Accounting data entry as assigned with a success rate of 90-95%.
Ensures operation of office equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
Marketing subject to approval by FP including newsletters, cards, Facebook, magazine, client events and community events including attendance & follow up.
Ensuring office is open and ready for clients during posted business hours.
Support.

REQUIRED:
Two years related experience (administrative, customer service, marketing) or equivalent education Moderate to advance proficiency with Microsoft Office Moderate proficiency in QuickBooks.
